FAQ: U.S. Delegation Application


  • Q. What format should the 2-page bio have? How will it be used?
    A. The bio will be used in the selection process, to make sure we have a delegation that is diverse with respect to specialty field, career stage, career path, and employment sector. We also plan to compile the bios and share them with all selected members of the delegation by way of introduction. Since we are responsible to our financial sponsors, we may also share the compiled set with them. You may use any format you like. We recommend the NSF 2-page bio format or a narrative as two options.

  • Q. Will financial support for travel be provided for US delegation members?
    A. We are fundraising in an effort to obtain sufficient funding to pay for non-refundable economy round trip air fare, hotel in Korea (double occupancy), conference registration, and meals in Korea for all delegation members. Delegation members desiring a single room or more expensive air fare will need to pay the difference. Fundraising progress is good, and we have heard positive news from sponsors regarding more than half of the funds needed.

  • Q. The Conference web site (icwip2008.org) shows an abstract deadline in April. Will I still be able to present my research?
    A. Every member of the US delegation is expected to present a poster at the conference, describing her/his scientific research or activities or research related to gender and physics or science. The abstract deadline for the conference is being delayed to Mid-July, to allow countries to use a delegation selection process, like we are using in the USA. The abstract you submit as part of your application to join the US delegation will be the abstract submitted to the Conference, if you are accepted. If you are selected to join the US team, you and your abstract will be accepted by the Conference.

  • Q. The web-based application form is either not available or it is very difficult for me to use. I still want to apply. What should I do?
    A. You can send your application via an email addressed to applications@uswip.org. In the subject line, please type "Application for The Third IUPAP International Conference on Women in Physics".
    You can (i) paste your application into the body of the email; or (ii) send it as an attachment in either Microsoft Word (.doc, not .docx) or .pdf format. In the latter case, please name your application as "lastname_firstname-uswip.doc" or "lastname_firstaname-uswip.pdf". Attachments named differently will not be accepted.
    Your application must include the following:
    • your contact information (name, mailing address, email address, telephone number(s), highest degree/year/field, citizenship, with visa type if not US citizen, position and employer/institutional affiliation);
    • two 250-word (maximum) essays on the following topics:
      • Essay 1: Describe your activities towards advancement of women in physics/science and your plans for contributing to the conference and follow-up success in the United States.
      • Essay 2: Describe how you expect your participation in this conference may contribute to your future career success.
      Please, type the essay questions in bold and place at least one line between the two essays.
    • poster information:
      • poster type: "Research" or "Gender and Physics";
      • poster title;
      • poster authors;
      • 250-word (maximum) abstract;
    • 2-page bio sketch, as described above.
    Please, note that we will not be able to accept applications that come in many separate pieces. Please, help us and help yourself by either using the web-based application form or by sending one email with no more than one attachment.

  • Q. How can I, my department, or my company provide financial support and become a sponsor of this great conference?
    A. Internationally we must raise US$800,000 to allow teams of at least three people to attend from all the countries who what to come. Already 69 countries are interested, and many of these countries are economically disadvantaged or developing. A donation or grant of at least US$1,500 entitles the donor to official sponsor designation, with recognition on the conference web site, in the program, and in the published Proceedings. Every sponsor will receive a copy of the Proceedings (in print and CD). Tax-deductible donations may be made through IUPAP, designating ICWIP2008 as the recipient. IUPAP's headquarters in the US is located at the American Physical Society. A donation of at least US$5,000 allows an organization in addition to send (at its expense) a representative to participate in the conference.
